The FEI is looking for a part-time polyvalent Administrator (70%) who will provide support to Facilities and Reception team. This is a 12-month fixed-term contract, with the possibility of becoming a permanent position. The start date is on 15 September 2026 or on a mutually agreed date. The position is based in Lausanne.
General Services Administrator
Purpose of the Role
Reporting directly to the Head of Facilities, the General Services Administrator will also act as the FEI Receptionist, mainly during lunchtime and as replacement during holidays or periods of absence. The ideal candidate will demonstrate great flexibility, a strong service mindset and excellent presentation skills. He/she will coordinate various general service matters and demonstrate a proactive attitude to respond to the diverse requests from internal and external stakeholders. When acting as Receptionist, the successful candidate will be the first point of contact for visitors and stakeholders at our prestigious Headquarters.
Our new team member will work at a fixed activity rate of 60%, from Monday to Friday, from 12:30 pm to 5:30 pm, for the duration of the one-year contract. On an annual basis, this activity rate may increase by up to 10%, depending on operational needs.
Key Responsibilities
- Liaise with the National Federations to ensure the appropriate follow-up of all orders.
- Coordinate mailings including dispatching and follow-up of various mailings and parcels (IN / OUT).
- Coordinate all customs documentation.
- Monitor the inventory of head office supplies (stationery, cafeteria) and replenish stock as required.
- Review supply invoices and ensure appropriate follow-up.
- In collaboration with the Head of Facilities, liaise with service providers to ensure that all contractual services are delivered.
- Handle administrative tasks and provide support to the team.
- Act as back-up receptionist and ensure all reception duties, including welcoming visitors, providing general information, answering all phone inquiries on a multi-line switchboard, and update the atrium screen according to departmental requests.
- Support the organisation of corporate events and employee gatherings.
Position Requirements
- CFC Diploma or equivalent.
- Proven experience in administrative support, office management, reception, or a similar role, with experience in general services and facilities coordination.
- Ability to work flexible office hours and multitasker.
- Proficiency in Microsoft Office Suite.
- Perfectly fluent in English and French, additional language is an asset.
- High service-oriented mindset with excellent presentation and a hospitality-oriented attitude.
- Ability to handle confidential information with discretion.
- Team player with a proactive attitude.
- Knowledge of workplace health and safety practices is an advantage.
- Valid Category B driving licence.
